Our Policies

TRAVEL FEE:
A travel-time/fuel surcharge will apply if your event is outside our boundaries as indicated on our map. This fee could be between $10-$20 depending on the distance. We also serve some locations outside San Antonio which include but are not limited to: Helotes, Fair Oaks Ranch, Boerne, Poteet, Natalia and Schertz for an extra fee of $40. 

 

PAYMENT:
To book your event, we require a Non-Refundable PayPal or Credit Card payment of 50% of your total party package on Themed parties and $50 on Princess visits. Your final payment is due 7 days prior to your event and is based on your final headcount. If we are unable to process this payment, we reserve the right to cancel your event. Princess visits may be paid on the day of the event by certified check or cash.

 

RUSH POLICY:
Applies to Full Themed Parties Only. If you are requesting (and we have available), a party date less
than 3 weeks out, we may require a rush fee and you will be informed of this fee at the time of booking (usually between $25 and $50). Additionally, if we do not receive your final guest list at least 7 days prior to your event you
will be charged a $20 rush fee to accommodate changes of our customized items.

 

MINIMUM/MAXIMUM ATTENDANCE:
Our parties are designed and priced for 8 children (including the birthday girl). You will be charged for that minimum even if less then (8) children attend your event. If you have more than 8 children at your event you will be charged for each child according to the party package that you purchased. Parties with over 12 children will require an additional party hostess at a cost of $60. If you have a child show up that was not on your final headcount, we will do our best to include them but cannot guarantee that they will receive party favors or cupcakes. A 10% gratuity will be added to the invoice on Themed Parties with over 12 children.

 

PARTY TIME:
Our parties are between 1 ½ hours up to 2 ½ hours in duration (depending on the package purchased). We will arrive between 1 and 1 ½ hours before your scheduled party to set up and require up to 45 minutes to breakdown after the party.

 

RIGHTS TO PHOTOGRAPHS:
Teacups and Tiaras reserves the right to photograph events they design and/or use
photographs taken at your event in any or all promotional media, whether now known or hereafter existing, controlled by Teacups and Tiaras, in perpetuity, and for other use by Teacups and Tiaras. As a customer of Teacups and Tiaras, you agree that you will make no monetary or other such claim against Teacups and
Tiaras for the use of any photograph taken of you, your child (or children), your home/event location, and your guests. Should you have any concerns or wish to have images not used, please send your request to christina@teacupstiaras.com.

 

FOOD AND BEVERAGES:
We will provide themed cupcakes and lemonade or flavored tea for your event. We suggest that you provide your guests with sandwiches and we will be happy to serve them. We can provide you with easy to use menu options. We ask that tomato based entrees; pastas; greasy or messy foods are not served as they can stain our linens and costumes and make clean up a challenge. Teacups and Tiaras is not responsible for allergic reactions or any other medical reaction stemming from the menu, wearing of costumes, or any activity taken place before, during and/or after the party. In case of Liability and /or financial remuneration due to the above mentioned, the responsibility lies strictly with the client.

 

LIABILITY:
We will treat your home with the upmost respect and care. However, we cannot be held responsible for
accidental damage caused by a guest. If you have any precious belongings, please remove them from the entertaining area prior to the event.

 

INSURANCE:
Teacups and Tiaras is insured by Liberty Mutual Insurance.

 

CANCELLATIONS AND REFUNDS:
If you must cancel your event for any reason, the following refund policy applies: Your deposits are non-refundable, however, if you need to reschedule, we will gladly offer an alternative party date for your consideration. Keep in mind that you may forfeit your deposit if you are unable to reschedule.

 

COSTUMES:
All costumes are made to wear over a child’s own clothing; however, leotards and / or spandex pants are our recommendation. You will be responsible for excessive damage to the costumes.

 

DISCLAIMER:
We do not offer characters from television. We only have professional theatrical costumes. It is not our intention to violate any copyrighted characters, and we make no attempt to market them as such. We will only accept bookings from individuals who are aware that we DO NOT represent any licensed birthday party character.

We cannot be held responsible for non-performance of contracted obligations due to certain events including, but
not limited to: cancellation or postponement of the event by the Client, Riots, War, Acts of God (including floods, earthquakes, tsunamis, volcanic eruptions and widespread damage due to other natural disasters), acts of Government and other actions of Authorities that are beyond our control.
